Terms & Conditions

Effective Date: 15th August 2026

1. About us and these Terms

South West Venue Collection (“we”, “us”, “our”) is an independent wedding venue research, matching and concierge service operated by Jenny Urso, a sole trader trading as South West Venue Collection. You can contact us at info@southwestvenuecollection.co.uk. Our website is southwestvenuecollection.co.uk. These Terms and Conditions (“Terms”) apply to every booking of our services. Together with your completed Client Booking Form and our written confirmation of your booking, they form the contract between you and us. If anything in these Terms is unclear, please ask us before booking. Nothing in these Terms removes or reduces any right you have under law, including under the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

2. What we do, and what we are not

We help couples identify wedding venues that may suit their requirements, preferences, priorities and wedding vision. Our recommendations are personally researched and curated, and may take account of location, style, setting, atmosphere, capacity, facilities, budget and photographic potential. We are a research, recommendation and concierge service. We are not a wedding venue, a wedding planner, a travel agent or a booking agent, and we do not enter into venue contracts for you unless we have expressly agreed otherwise with you in writing. Any contract to hire a venue is made directly between you and the venue, and any payment due to a venue is payable by you directly to the venue.

3. Our Experiences

We currently offer three levels of service: The Venue Edit at £195; the Signature Collection at £349; and the Bespoke Venue Concierge, priced from £595, with the final price agreed with you in writing, according to the scope of your brief, before you book. The precise deliverables and level of support included in each Experience are those described for that Experience at the time you book, together with anything further we expressly agree with you in writing. The description of your Experience at the time of booking, and anything else we tell you in writing about the service that you take into account in booking, forms part of the contract. We may change our prices, package names and inclusions from time to time. Changes do not affect a booking we have already accepted: the price and service that apply to you are those confirmed when your booking is accepted. Where your Experience includes ongoing guidance throughout your venue search, this means guidance by email and telephone, at reasonable intervals, in connection with your venue search. It is included until the earlier of the date you enter into a contract with a venue and six months from the date your booking is accepted, and can be extended by agreement as additional support under clause 15. Where your Experience includes assistance arranging venue viewings, this means liaising with venues and helping you arrange your initial viewing appointments. It does not include attending viewings with you, which can be separately agreed as additional support under clause 15.

4. How your booking is made

A booking is made as follows. You complete and submit the Client Booking Form, which is your offer to purchase the Experience selected. Your booking becomes binding when we send you written confirmation that it is accepted. We are not obliged to accept a booking, and if we do not, anything you have paid will be refunded in full without delay. We are not obliged to begin work until the payment required by the Client Booking Form has been received, and subject to clause 6, work will begin in accordance with the choice you make on the Client Booking Form about starting during the cancellation period.

5. Price and payment

The price for your Experience is confirmed before you book and is stated on the Client Booking Form. For The Venue Edit and the Signature Collection, the full price is payable on booking. For the Bespoke Venue Concierge, the price agreed for your brief is stated on the Client Booking Form, a booking payment of 50 percent of that agreed price is payable on booking, and the balance is payable on delivery of your venue report. We are not registered for VAT and no VAT is added to our prices. Invoices are payable by the due date they state. If an amount that has become due remains unpaid, we may pause work until it is paid, and delivery timescales are extended accordingly. Where you ask for work outside the scope of your Experience, clause 15 applies and any additional charge will be agreed with you in writing before that work is done.

6. Your right to cancel

You have the right to cancel your booking within 14 days without giving any reason. The cancellation period expires 14 days after the day on which your booking is accepted under clause 4. To exercise the right to cancel, you must inform us of your decision by a clear statement, by email to info@southwestvenuecollection.co.uk or by post to our address stated on the Client Booking Form. You may use the model cancellation form annexed to these Terms, but you do not have to. To meet the cancellation deadline, it is sufficient that you send your cancellation before the cancellation period has expired. If you cancel within the cancellation period, we will reimburse all payments received from you without undue delay and in any event not later than 14 days after the day on which you told us you were cancelling, using the same means of payment you used, and you will not incur any fee for the reimbursement, subject only to the following paragraph. The Client Booking Form asks whether you would like us to begin the service during the cancellation period. If you expressly request that we begin during the cancellation period and you then cancel before the service has been fully performed, you must pay us an amount which is in proportion to what has been performed up to the time you told us you were cancelling, in comparison with the full price of your Experience. If you expressly request that we begin during the cancellation period and acknowledge that you will lose the right to cancel once the service has been fully performed, then once we have fully performed the service the right to cancel is lost, and no refund is due on a cancellation made after full performance. If you ask us not to begin until the cancellation period has expired, we will not begin, and no charge can arise, until it has.

7. Cancellation after the cancellation period, and cancellation by us

If you cancel after the cancellation period has expired, the amount you must pay, and any refund due, is calculated in the same proportionate way: you pay for the part of the service performed up to the date your cancellation is received, in comparison with the full price, and any balance you have paid beyond that is refunded. In exceptional circumstances we may need to cancel a booking. If we cancel for a reason that is not your fault, we will refund everything you have paid for services not yet provided, and if we have provided nothing, everything you have paid. We may also end a booking by written notice if you fail to make a payment when due after we have reminded you, fail to provide information we reasonably need to perform the service, behave abusively towards us or towards a venue or supplier we are dealing with for you, or commit a serious breach of these Terms. In that case you pay for the part of the service performed to the date of termination, calculated in the same proportionate way, and any balance is refunded. Nothing in this clause affects your statutory rights, including your remedies under the Consumer Rights Act 2015 if the service is not performed with reasonable care and skill.

8. Our recommendations, and your decisions

Our recommendations are based on the information you give us, our own research and, where applicable, communication with venues. Recommendations involve professional judgement and an element of subjectivity. We take reasonable care in researching and selecting venues, but a recommendation is not a guarantee that a venue will be suitable for you, and the final choice of venue is always yours. Before entering into a contract with a venue or paying it any money, you are responsible for satisfying yourself about the venue, including viewing it where you consider that appropriate, reading the venue's own terms and conditions and cancellation provisions, confirming its pricing, availability, capacity, facilities and any restrictions, checking accessibility and your other personal requirements, considering any insurance requirements, and taking independent advice where appropriate.

9. Venue information and availability

We take reasonable care to provide accurate and useful information. Information about venues can nevertheless change without notice, including pricing, packages, availability, capacity, accommodation, facilities, suppliers, policies, licensing, access arrangements, minimum spends and food and drink arrangements, and some information is supplied to us by venues or drawn from public sources. You should verify information that matters to you directly with your chosen venue before booking it. Unless we expressly say so as part of your Experience, the inclusion of a venue in a recommendation or report does not mean it has been held or reserved for you, and where we make availability enquiries for you, availability remains subject to confirmation by the venue. We cannot guarantee the availability of any venue or date.

10. Your information, and changes to your brief

So that we can perform the service well, you agree to give us information that is complete and accurate to the best of your knowledge, including your proposed date or date flexibility, preferred area, approximate guest numbers, venue budget, priorities, preferred style, accommodation, accessibility and ceremony requirements, essential and preferred features, and any deal breakers, and to tell us promptly if your requirements change. A significant change to your brief after research has begun may require additional work; where that falls materially outside your Experience, we will discuss and agree any additional scope and fee with you in writing before doing the additional work.

11. Venues and suppliers are independent of us

Venues and suppliers we introduce, recommend or provide information about operate independently of us unless we expressly state otherwise. A recommendation or introduction does not create a partnership, agency, employment relationship or joint venture between us and the venue or supplier, and where we assist with communication we do not become a party to any contract you make. We are not responsible for the acts, omissions, service quality, solvency, cancellation, availability or performance of an independent venue or supplier; your remedies in respect of a venue's own failures are against the venue under your contract with it.

12. Referral fees and commissions: our disclosure to you

Some venues and suppliers have agreed to pay us a referral fee or commission if a client we introduce or recommend goes on to make a confirmed booking with them. This is in addition to the fee you pay us. So that you can take it into account, we make the following commitments. We will identify to you, in or alongside your venue report or recommendations, any recommended venue with which we have a commission or referral arrangement. We will tell you the amount or basis of the commission for any such venue if you ask. Venues are selected for recommendation on suitability for your brief; no venue can pay to be included, ranked or preferred, our partner arrangements expressly give venues no right to inclusion, and receiving a commission does not reduce or change the fee you pay us.

13. Timescales

Any timescale we give for research, reports or other deliverables is a genuine estimate unless we expressly confirm it in writing as a guaranteed deadline. We will use reasonable care to deliver within the timescale agreed with you. Timescales can be affected by matters outside our reasonable control, including delays in receiving information from you, venues or suppliers, and where you delay in supplying information we need, the delivery date is extended by a reasonable corresponding period.

14. Your report, and intellectual property

Reports, venue guides, comparisons and recommendations we produce are prepared specifically for you, based on your brief and on the information reasonably available when the research was done; information can change afterwards, and clause 9 applies to it. All intellectual property rights in materials we create, including their structure, wording, presentation, methodology, questionnaires and original content, belong to us. You have a personal, non commercial licence to use your report and associated materials for your own wedding planning, including sharing them with family and others helping with your wedding and with your wedding suppliers. You must not, without our prior written permission, reproduce the materials commercially, sell or redistribute them, publish substantial parts of them, provide them to another business for commercial use, or present our work as your own. Photographs and other third party material in our reports remain the property of their owners and are included under permissions we hold; the same licence terms apply to your use of them within your report.

15. Additional support

If you ask for assistance beyond the scope of your Experience and we are able to provide it, the scope and any additional fee will be agreed with you in writing before the work begins. Additional services do not form part of your original booking unless expressly included in your Experience or subsequently agreed in writing.

16. The photographer's eye

We may consider venues from a photographer's perspective, including natural light, surroundings, architecture, interiors, photographic locations, ceremony and reception settings and atmosphere. These observations are offered to help you weigh the visual and experiential qualities of a venue. They are not a guarantee of particular photographic results, which depend on many things including weather, season, time of day, your photographer, equipment, access and venue restrictions.

17. Our responsibility to you

We will perform our services with reasonable care and skill. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be excluded or limited by law, and nothing in these Terms affects your statutory rights as a consumer. Our service is the research, matching, recommendation and concierge support described in your Experience. As clauses 2 and 11 explain, we are not a party to your contract with any venue or supplier and we are not liable for a venue or supplier becoming unavailable, changing its prices, packages or policies, cancelling a booking, ceasing to trade, failing to provide the expected service or otherwise breaching its contract with you. Subject to the two paragraphs above, our total liability to you in connection with your booking, whether in contract, tort or otherwise, is limited to the price paid for your Experience, and we are responsible only for loss that is a foreseeable result of our breaking this contract or failing to use reasonable care and skill. We are not responsible for loss that is not foreseeable, or for business losses, as our services are supplied for private use.

18. Events outside our control

We are not responsible for delay or failure to perform an obligation where this results from circumstances outside our reasonable control. If such circumstances materially affect the service, we will contact you and take reasonable steps to minimise the disruption, and if the delay is substantial you may end the booking and receive a refund for services paid for but not provided. This clause does not affect rights that cannot be excluded by law.

19. Complaints

We want you to be happy with the service. If you have a concern or complaint, please raise it with us first, using the contact details in clause 1 or on our website, so that we can investigate and respond. We will deal with complaints fairly and within a reasonable period. This clause does not limit your legal rights or the ways in which you may pursue them.

20. Your personal information

We handle personal information in accordance with our Privacy Notice, which is available on our website and provided with the Client Booking Form, and with UK data protection law. Where needed to provide your Experience, we share relevant wedding requirements with venues and suppliers when making enquiries or introductions for you, as the Privacy Notice explains.

21. Changes to these Terms

We may amend these Terms from time to time. Changes apply to future bookings only. The terms that apply to your booking are those in force when your booking is accepted, unless a change is required by law or we agree the change with you.

22. General

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions continue to apply. If we do not immediately enforce a right under these Terms, we have not waived it. This contract is personal to you and us: you may not transfer your booking to another person without our written agreement, which will not be unreasonably withheld, and no person other than you and us has any right to enforce these Terms under the Contracts (Rights of Third Parties) Act 1999.

23. Governing law and where you can bring a claim

These Terms and your booking are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you also have the benefit of any mandatory rules of the law of the part of the United Kingdom in which you live, and you may bring proceedings in the courts of England and Wales or in the courts of the part of the United Kingdom in which you live.
